Using the portal

Signing in and out

Your company uses DartRelay so that you can open work applications and desktops in your web browser. This page explains how to sign in, what the extra steps you might see are for, what to do if you forget your password, and how to sign out.

Note

Your company decides which of the options on this page you will see. If something described here does not appear for you, it has simply not been switched on. Your IT team or helpdesk can tell you how your company has set things up.

What you need

Sign in

  1. Open the portal address in your browser. You will see your company's sign-in page, with its own logo and colours.
  2. Type your username. Most people can type just their name (for example jsmith). If your IT team has told you to, include your domain as DOMAIN\jsmith or type your email-style sign-in name such as jsmith@yourcompany.com.
  3. Choose your domain, if asked. Some companies show a list of domains on the sign-in page. Pick the one your IT team told you to use.
  4. Type your password and click the sign-in button.
  5. Complete any extra steps that appear. They are described below.

When you are signed in, you see My Resources: the applications and desktops your company has given you. Opening applications and desktops explains what to do next.

Signing in with your Microsoft or company account New in 2.1

Your sign-in page may also show a button such as Sign in with Microsoft, or one naming another company account provider. If it does, you can click it instead of typing a username and password. You are taken to that provider's own sign-in page, and then brought back to the portal, signed in.

Depending on how your company has set this up, the first time you open certain applications you may be asked once for your Windows password. That is expected. If you are asked again every time, tell your IT team.

"Remember me"

If your sign-in page has a Remember me box, ticking it means you can close the browser and come back later without signing in again. You will still be signed out if you leave the portal unused for too long (see Signed out for inactivity). Do not tick it on a computer other people use.

Extra steps you might see

Your company may add one or more of these steps to keep your account safe.

A picture check

You may be asked to type the characters shown in a picture, or to tick a box confirming you are a person. This stops automated programs from guessing passwords. If you cannot read the picture, use the button beside it to get a new one.

Proving you are a person on a public portal New in 2.0

Some portals let visitors in without a sign-in at all. On those, you may see a short "Just checking" page with a picture check before you are let in. Answer it and you go straight to the applications. There is also a link to sign in with an account instead, if you have one.

Terms of use

You may be shown your company's terms of use, with a box to tick. You need to accept them to continue. They may appear again if your company updates them.

A second step: a code

Your company may ask for a code as well as your password. This is called two-factor authentication. The code comes from one of two places:

If you are asked to set up an authenticator app for the first time, the page shows a QR code. Scan it with the app on your phone, then type the code the app shows to finish. You will usually be given a set of recovery codes at the same time. Keep them somewhere safe, away from your phone: if you lose your phone, a recovery code lets you sign in once in place of the app code. You can manage your authenticator and recovery codes later from your profile page.

If you have lost your phone and have no recovery codes left, contact your IT team or helpdesk; they can reset your second step for you.

Changing your password

If your password has expired, or your IT team has asked you to choose a new one, you are taken to a page where you type your current password and then a new one twice. After you change it, you return to the sign-in page: sign in again with the new password.

If you forget your password

If your sign-in page shows a Forgot your password? link, you can reset your password yourself.

  1. Click Forgot your password? on the sign-in page.
  2. Type what the page asks for: your username, your email address, or both.
  3. Complete the picture check if one is shown, and submit the form. The page shows the same message whether or not an account was found; this is deliberate, so that nobody can use the page to find out who has an account.
  4. Open the email that arrives at your work address and click the reset link. The link only works for a limited time and only once.
  5. Choose a new password, type it twice and save. You are returned to the sign-in page.
  6. Sign in with your new password. You will also receive an email confirming the change.
Important

If you receive a password reset or "password changed" email that you did not ask for, contact your IT team or helpdesk straight away.

If there is no Forgot your password? link, or no email arrives, contact your IT team or helpdesk. Administrator accounts cannot reset their password this way.

Messages you might see when signing in

If the page says…What it means and what to do
The username or password is wrongCheck the spelling, that Caps Lock is off, and whether you need to include your domain. After several wrong attempts you may have to wait before trying again, or complete a picture check.
Your account is locked outToo many wrong passwords were tried. Wait for the time your company has set, or contact your IT team or helpdesk to unlock it.
Your account is disabled, or has expiredYour account has been switched off. Contact your IT team or helpdesk.
"… is not a domain this address signs in to"The domain you typed or chose is not allowed on this portal address. Check the address you were given and the domain you were told to use.
This portal is not available from the network address you are connecting fromYour company limits where the portal can be reached from, for example only from the office or over its VPN. Contact your IT team.
A code could not be sentThe emailed code could not be delivered. Try again in a minute; if it keeps happening, contact your IT team.

Signing out

When you have finished, sign out. This matters most on a shared or public computer.

  1. Save your work in every application you have open.
  2. Close your applications, either from inside each one (for example File → Exit) or with the × on its tab.
  3. Open the menu under your name at the top of the portal.
  4. Choose Sign out. You are returned to the sign-in page.
Tip

Signing out or closing the browser does not always close the programs inside your applications. Depending on how your company has set things up, a program you left open may still be there, exactly as you left it, the next time you sign in. To be sure your work is safe, save and close your applications before you sign out.

Signed out for inactivity

Your company may sign you out automatically if you leave the portal without touching the keyboard or mouse for a while. Typing and clicking inside your applications counts as activity. Before it happens you may see a short countdown with a choice to stay signed in; choose it to carry on. If nothing is done, the portal shows "Signed out after N minutes without activity" and returns to the sign-in page. Your applications are disconnected at the same time. Usually your programs are still there when you sign in again, but save your work regularly so that nothing is lost.

From the menu under your name you can open your profile. Depending on what your company allows, you can:

Getting help

For anything on this page that does not work as described, contact your IT team or helpdesk. It helps them if you tell them the portal address you used, the exact message you saw, and the time it happened.
