Files and printing in a session
The applications you open in the portal run on a computer at your company, not on the device in front of you. This page explains how to move files between your own computer and those applications, and how to print from them.
Your company decides whether file transfer and printing are available, and for which applications. If you do not see the buttons or the printer described here, they have not been switched on for that application. Ask your IT team or helpdesk if you need them.
How files work in a session
When file transfer is on, two things appear:
- A drive inside the application. When you open or save a file from the application (for example with File → Open or File → Save As), you see an extra drive in the list of places. Your IT team may have given it a name.
- A folder button in the portal toolbar. It opens the file browser, which shows the same drive from the portal side.
Think of the drive as a shared tray between your computer and the application. You put files in from the portal and open them in the application; the application saves files there and you take them out through the portal.
The drive is usually your own private folder: other people cannot see what you put in it. Some applications use a shared team folder instead, where everyone who opens that application sees the same files. Ask your IT team if you are not sure which you have.
Open the file browser
- Open the application and wait until it has appeared.
- Click the folder button in the toolbar at the top of the portal. It is greyed out for a moment while the application starts and becomes available once the drive is ready.
- The file browser opens over the application, showing the contents of the drive.
In the file browser you can:
- open a folder by clicking it, and go back up with Up;
- refresh the list, for example after the application has saved a new file;
- type in the filter box to show only files whose names match.
While the file browser is open, your keyboard types into the browser rather than into the application. Close it to go back to working in the application.
Upload a file from your computer
- Open the file browser and go into the folder where you want the file.
- Drag the file from your computer onto the file browser, or use the browser's option to pick files from your computer. You can pick several files at once; they are uploaded one after another.
- Wait for the upload to finish, then close the file browser.
- Open the file in the application with File → Open, choosing the file transfer drive.
You cannot upload a whole folder in one go; the file browser tells you if you try. Upload the files inside it instead, creating a folder first if you are allowed to.
Download a file to your computer
- In the application, save the file to the file transfer drive with File → Save As.
- Open the file browser and find the file. If it is not there yet, refresh the list.
- Select the file and download it. It is saved wherever your browser normally saves downloads, usually your Downloads folder.
To download several files at once, select them all before you download. Several files, or a folder, arrive as a single ZIP file, which you can open on your computer like any other ZIP.
Delete, rename and create folders
If your company allows it, the file browser also lets you delete files and folders, rename them and create new folders. If you do not see these options, they are switched off for you.
Deleting from the file browser is permanent. There is no recycle bin. You are asked to confirm once, and then everything you selected, including the contents of any folders, is removed.
Good habits with files
- Download what you need to keep. Treat the drive as a place for passing files back and forth, and keep important files where your company tells you to store them.
- Use simple file names. Names made of plain letters, digits, spaces, hyphens and underscores transfer most reliably. Names with accented letters or other alphabets may not come through correctly; rename such files before you transfer them.
- Move many files in batches. If you need to download a very large number of files, tell your IT team first, and keep copies of anything you cannot afford to lose.
Printing
When printing is on for an application, it has a printer of its own. You will not see your office or home printer listed. Instead, whatever you print comes back to your browser as a PDF, which you can keep or print on your own printer.
- Print as usual from the application, for example with File → Print.
- Choose the DartRelay printer. It is usually called DartRelay Printer, though your company may have given it another name. Click Print.
- Wait for the print panel. A small panel appears in the application listing your print job.
- Click Open or Save. Open shows the PDF in a new browser tab. Save downloads it to your computer.
- To get a paper copy, print the PDF from your browser or PDF viewer to your own printer.
If you print several times, each job is listed in the panel, so nothing is lost.
The print panel appears inside the application that printed. If you switched to another application's tab while the job was being prepared, go back to the tab you printed from to find it.
If something goes wrong
| What you see | What to do |
|---|---|
| There is no folder button | File transfer is not switched on for this application. Contact your IT team or helpdesk if you need it. |
| The folder button stays greyed out | Wait until the application has fully appeared. If the button never becomes available, close the application and open it again; if that does not help, tell your IT team. |
| A file you saved in the application is not in the file browser | Refresh the list, and check that you saved it to the file transfer drive and not to another drive inside the application. |
| Uploading or opening a file fails | Check the file name for unusual characters and rename it. If every file fails, tell your IT team. |
| Downloads stop working | Stop and tell your IT team or helpdesk before trying again, and check that the files you were downloading are still on the drive. |
| There is no DartRelay printer | Printing is not switched on for this application. Contact your IT team or helpdesk. |
| You printed but no panel appeared | Check the tab you printed from. If it is not there either, try printing again, and tell your IT team if it keeps happening. |
| Open does nothing | Your browser blocked the new tab. Allow pop-ups for the portal's address, or use Save instead. |
When you contact your IT team, tell them which application, the name of the file, the time and any message you saw.
